From a system everyone hated to numbers the board trusts

Geraldton Universities Centre inherited a clunky in-house database that staff hated, and its director didn’t trust the reports it produced. OneIT replaced it with a student system built around GUC’s unique model. Now the frustrations are gone and the board gets numbers it can rely on.

Whereas now I go, look, yeah, I’ve got faith that those numbers are correct and that makes a big difference and increases the quality of reporting that I can give to our board.

Natalie Nelmes, Director, Geraldton Universities Centre

The challenge

GUC is a not for profit supporting regional university students, and no off-the-shelf education system suited its model. Its in-house database was built by an employee who had since left.

Natalie Nelmes says the old system was “very clunky. Everyone hated using it.” Worse, as manager she never had complete faith that its reports and statistics were accurate.

The solution

OneIT’s scoping process helped GUC pin down what was working, what wasn’t and how to fix it. Then we built a student database with reporting and invoicing to university partners.

As a small not for profit, GUC wanted a partner that understood every dollar counts, not one that heard “university” and assumed a big budget.

The benefits

Reports the board can rely on

Natalie now has faith the numbers are correct, which lifts the quality of reporting to the board.

Frustrations gone

In her words: “people don’t hate using the database anymore.” Data entry is faster too.

Confident enough to keep building

GUC trusts the system enough to keep adding new features to it.

What we built

Student records

Designed around GUC’s distinctive regional education model.

Management reporting

Accurate statistics and board-ready reports.

Partner invoicing

Invoices to university partners generated from the student data.
